What Repline does, area by area, in plain English.
Facility setup
Amenities & stock
Repline keeps one catalogue of everything a facility sells or lends — classes, courts, studio hire, personal training, retail items and add-on services. You describe each item once: what it is, how long it lasts, how many people it takes, and what it costs.
Branding & operator settings
Your business sets its logo, cover image and brand colours once, and every location inherits them. Member-facing pages, joining flows and confirmation documents pick the branding up automatically.
Setting up a location
Creating a location in Repline takes a few minutes: name it, give it a web address, add the postal address, opening hours and the description members see when they find you.
Operator Onboarding: From Zero to First Payment
Getting started runs in four stages: set up the business, create your first location, add what you sell, then connect payments. Repline walks you through each one and tells you what is still outstanding before you can take money.
Site settings, spaces & closures
Each location holds its own settings: the rooms, studios and courts it has, how attendance is recorded at the door, and the local rules that differ from the rest of the business.
Payments & accounting
Billing & financial controls
Operators set the money rules once, at business level: how much notice a member must give to cancel, whether refunds are automatic within a window, the currency you trade in, how tax is presented, and how often staff are paid.
Payments & accounting
Members pay by card in the app; the money lands in the operator's own account, and Repline takes a percentage of what is collected rather than a monthly licence fee.
How platform charges work
Repline has no subscription, licence or per-seat fee. There is nothing to pay until you collect money from a member, and the fee is a share of what you actually take.
Stripe Connect & refunds (write-side)
Payouts go directly to the operator, so you are the merchant of record for your own members and money never sits with Repline in between.
Bookings & attendance
Bookings & attendance (write side)
Staff and managers can create, move and cancel sessions from the day planner. Moving a booking checks the obvious things for you — is the room free, is the coach free, is the member still entitled to that session.
Bookings & attendance policy
The booking rules live at business level: how long a reservation is held while someone pays, what happens when a member repeatedly fails to show, and how the day is laid out across staff and rooms.
Bookings, end to end
A member finds a class or a court in the app, books it, and pays if it is not already covered by their membership. Staff see it appear on the day sheet, managers see how the week is filling, and the operator sees what it earned.
Scheduling & coverage
Coverage patterns & schedule templates
Managers describe the shape of a normal week once — reception covered from opening, two coaches on the floor at peak, the studio staffed for evening classes — and Repline turns that pattern into real shifts as far ahead as needed.
Scheduling & coverage
The rota, the class timetable and the booking diary are one calendar rather than three. Publishing a week tells staff what they are working, and puts bookable sessions in front of members at the same time.
Trust & compliance
GDPR & legal overview
Health-screening answers and personal details are treated as sensitive from the moment they are collected. Members can see what is held about them, export it, and ask for it to be deleted.
Approvals & governance
Decisions that change money or access are approvals rather than silent edits: promoting someone to manager, accepting a new staff member, signing off a stock correction, or granting a pay rise.
Operations
Inventory
Retail stock is written once at the business level and then provisioned to each site with its own quantity and price. A drink can cost one thing in the city venue and another in the suburbs without maintaining two catalogues.
Tasks & assignments
Jobs on the floor are assigned rather than shouted: cleaning rounds, equipment checks, opening and closing routines, or a follow-up with a specific member.
Memberships & pricing
Member engagement
Notifications & messaging
Operators and managers can message members or staff, either individually or as an announcement, and schedule it for later.
Octants — member mindset model
Members train for different reasons, and Repline lets them say which. Eight motivations — from building strength to managing stress to simply keeping a routine — sit behind a short choice the member makes for themselves.
PAM & DCS
Repline watches the rhythm of someone's visits rather than a single missed week, and quietly flags two things: a member drifting away from their own habit, and a member training harder than is sustainable.
Staff & payroll
Payroll operations
Pay is built from what actually happened: shifts worked, classes taught, sessions delivered and any agreed uplifts, rather than from a separate timesheet somebody retypes.
Roles & permissions
Access comes in levels — member, staff, manager, operator — and is granted per location, so someone can be a manager at one site and simply a member at another.
Shift sign-off & payroll
A shift is clocked in, worked, and signed off. The sign-off carries the real times, any breaks, and a note where something differed from the plan.
Staff contracts
Each person has one employment record with the business, not a separate identity per site. Their contract records the type of arrangement — hourly, zero-hours, salaried or annualised — along with pay, hours and holiday entitlement.
Staff roles, leave & pay titles
Access levels, job titles and pay rates are three separate things in Repline, which is what lets a qualified coach cover reception without being paid as a coach for it.
